Holding an Event Can be Stressful — Plan Ahead and you’ll be the Host with the Most!

Planning a wedding reception, a birthday party, a christening, a corporate even or any other type of party can be stressful and you may feel a little overwhelmed with all the things you need to organise. Planning well in advance is advised, ensuring you don’t have to run around like a headless chicken at the last minute, possibly forgetting to organise an important element of the event.

Get yourself a checklist and as you complete each task, you can tick off each element so nothing gets forgotten. Once you’ve organised a few parties it’ll become like second nature, but to start with it might seem like you’ve got to push a boulder up a hill! Just take a deep breath, stay positive and take a look at the 5 most important things you need to have in place to make your party go off with a bang.

Your Budget

One of the first things you need to consider before you do anything else – is your budget! This is so important as you don’t want to start planning and promising things, then realise you can’t actually deliver when your bank says no! Sit down with your partner, manager, friend or online bank and work out how much money you have to invest in the party. Do a little research into costs on the things you have planned and you can even reach out to your event caterer and chosen venue to try work out a deal within your budget.

Invitations and Plus Ones

The amount of guests and whether they’ll be bringing plus ones will greatly affect your spend on the party. Have a think about this before you start inviting your whole Facebook list, as this might seem like a good idea at the time, but could end up costing you quite a bit more over what you can afford. Have a think – is it a more personal party where it’ll be better to just have close friends around, or is it a roll the red carpet out event for a product launch, where maybe more is better.

Venue for the Event Booked

Venues can be costly and many get booked up months and sometimes years in advance. What type of image are you going for? Do you want a dreamy castle type setting for a wedding or are you organising a milestone rock n roll birthday party – each event will want a totally different setting. Think well ahead what you need from your venue and contact them as soon as you can to make a booking.

Party Catering

Depending on what time of day your party will be held, you’ll need different types of food to keep people fuelled up. You can talk with your event caterer about your budget and needs and they can advise you on the best menu. For a lunchtime celebration you could select shared platters and afternoon tea styled foods. A more formal evening event may need a more filling three course meal or buffet style option.

If you’re having an informal get together with a few friends, just heading out to a local bar or music venue might be enough after the all-important catch up. Holding a party in a venue will call for a little more thought into how you’ll entertain people after the food is finished. Ideas could be; live music, standup comedy, a talk from someone in your companies industry, photobooths or even a fun casino.

    • 5 star review  We have used One Pot Catering for our Engagement Party to cater paella for 90 friends on a Saturday night. The food was delicious and abundant portions. All our friends were happy with the choices (seafood, vegetarian and meat) & quality. The organisation and payment for the service was very smooth and simple from a first contact with Mandy at head office up to the evening of our event when Wayne came on time, has been very friendly with our friends while preparing paella onsite and has left the place clean. We definitely recommend this Team!

    • 5 star review  All I can say is WOW! I was lucky enough to have a friend refer me to One Pot Catering for my recent wedding. From the start Mandy was amazing in guiding Mark and I through the quote and organising a tasting for us. Wayne did the tasting in their kitchen and we were sold on it then and there. The food and the service are unmatched. From the chefs on the day to the kitchen staff and the wait staff. They went above and beyond. I want to thank everyone involved in making our day so beautiful. Our guests are still talking about that slow cooked lamb ❤️
